iCloud Drive Taking Up Space on Mac: Remove Downloads Safely
Files in iCloud Drive can still occupy storage on the Mac. To release a downloaded copy while keeping the file in iCloud, use Finder's Remove Download. Deleting the file is a different action: it removes the iCloud item and that change can reach other devices. Start with one file whose upload you have verified, rather than deleting an entire cloud folder.
Two storage limits, two different problems
The Mac's disk and your iCloud account have separate capacities. Buying more iCloud storage does not enlarge the SSD. A file can exist in iCloud and also have a full downloaded copy on the Mac; another may appear in Finder while its contents remain online only.
In Finder, open iCloud Drive, switch to List view and enable iCloud Status through View › Show View Options. Apple's file status guide explains the distinction between downloaded items, items only in iCloud, and uploads that are still waiting. A name in Finder does not prove that the latest content reached the cloud.
Remove a local download without deleting the cloud file
- Save and close the file. Check its upload status, then confirm its latest contents on iCloud.com Drive.
- Keep a separate backup of important work. Apple's archive guide explains how to make independent copies; synchronization alone is not a backup.
- Control-click the downloaded item in Finder's iCloud Drive and choose Remove Download, as documented in Apple's file management guide.
- Check the same item again. It should remain in iCloud Drive, with its contents needing a download before offline use. Reopen it only if you want another local copy.
Do not choose Move to Trash for this purpose. Apple explains that deleting a file from an iCloud-synced Desktop or Documents folder deletes it across devices signed into the same account. Moving a file out of iCloud Drive can also remove it from the cloud; copy it deliberately to an independent location when making a backup.
Optimize storage and keep offline files
In System Settings › Apple Account › iCloud › Drive, Optimize Mac Storage lets macOS keep older documents in iCloud when disk space is needed. Apple's storage guide notes that contents can remain fully local when space is not needed. Turning the option on is not a promise of immediate eviction or a fixed number of gigabytes reclaimed.
On macOS versions offering Keep Downloaded, Control-click essential files or folders and select it before travelling offline. It keeps a local copy even with optimization enabled. To stop pinning an item, select Keep Downloaded again so its checkmark disappears. Download Now fetches an online-only item without making cloud sync an independent backup.
| Goal | Action | Consequence |
|---|---|---|
| Free local space but retain the cloud file | Remove Download | Opening it again needs a download |
| Keep work available offline | Keep Downloaded, where available | Its local copy continues to occupy space |
| Let macOS manage older local copies | Optimize Mac Storage | Eviction depends on storage pressure |
| Remove the file from iCloud | Delete the item deliberately | The deletion can reach other devices |
When space does not change as expected
First check whether the item was downloaded at all and whether an app reopened it. An online-only placeholder has no full local copy to release. An app that needs the contents can download them again. If upload is pending or Finder reports a sync error, preserve the current local version and use the iCloud sync diagnosis before attempting repair.
Then compare available storage rather than only the file's logical size. The storage measurement guide explains why folder totals and system categories can disagree. Use Finder for iCloud download management; do not treat Mobile Documents or CloudDocs as disposable cache directories.
FAQ
Does Remove Download free iCloud storage too?
No. It targets the downloaded copy on the Mac, while the file remains in iCloud. Freeing cloud storage requires a separate decision about which cloud files to delete.
Can I still open the file without internet?
Only if its contents are downloaded. Check and download the files you need before going offline, using Keep Downloaded where the macOS version offers it.
